Role Description
CleanEvent Service Ltd are recruiting for a Office Administrator. This is a fantastic opportunity to join an established
company and work out of the Head Office located in High Wycombe.

Job Summary
You will provide administration support to the business, managing day to day Head Office organisation, procedural
practices and tasks required to ensure efficient company operations.
Key Responsibilities
• Act as the first point of contact for visitors, employees or suppliers via email, over the phone or in person
whilst maintaining a positive and friendly company image
• Welcome visitors to the building and show them to meeting room or waiting area
• Manage office correspondence: answer telephone calls, field enquiries and transfer or take messages;
sort and distribute incoming mail and packages; manage outgoing post and record data on special
deliveries; respond to e-mails and manage the company general e-mail inbox
• Overall management of the office, maintaining stock lists and ordering office supplies or equipment as
needed (such as stationery, printer refills, staff welfare sundries, domestic stock or staff uniforms)
• Organise and maintain filing systems and update office databases; support with IT /Telephone operating
systems
• Maintain office efficiency by arranging repairs as required
• Book meeting rooms for colleagues, arrange meeting schedules, create agendas and takes meeting notes
as required
• Plan and organise refreshments / catering for Head Office events
• Arrange travel plans and hotel stays for staff members or clients as requested, communicating with
relevant agencies to produce travel itineraries, managing logistics (train, flights, car parking, early/late
check in)
• Manage car hire vehicles as requested by management staff
• Support the Finance Team with basic bookkeeping tasks and maintain the petty cash system for Head
Office
• Responsible for central compliance and accreditation
• Attend workshops, training or conferences as and when required
• Maintain a strong working relationship with other relevant departments at Head Office and all other
venues
• Liaise with other staff members on behalf of Senior Management
• Provide cover for other members of the Head Office team when they are on holiday and tasks when
additional ad-hoc support is required
• Other ad hoc tasks as required by the business
Key Skills required
• Administrative experience
• Outstanding written and verbal communication with interpersonal abilities with the confidence to
communicate effectively and accurately with a wide range of people, from senior management and CEOs to
customers and suppliers
• Good organisational and time management skills with the ability to prioritise tasks
• Ability to multitask and use initiative with strong attention to detail
• Demonstrate flexibility with a proactive approach and positive attitude
• Proficient Microsoft Office (Word, Excel, Power Point) skills with an aptitude for learning new software and
systems
• Ability to work without supervision
• Familiarity with office management procedures and basic accounting principles
• Professional with the ability to handle confidential company information
